To access the Document Management section:
- Click on the menu icon at the top-left hand corner of the Ideagen Coruson home page
- Click Documents
Tip: It is possible to pin this menu panel to the left hand side of the page by clicking the pin icon so that it points diagonally.
Creating Document Relationships
To create a document relationship:
- Click the number for the document you wish to configure a relationship for
- Click on the Relationships tab to open the relationships section of this document
- Click the icon of a white cross within a blue square, located to the right-hand side of the "Related Documents" heading. A pop up search window will appear.
- Search for the document title of the document you wish to associate to your document.
- Click on the tick icon alongside the document name to add this as a related document.
A newly associated document will be visible under the "References" section of Related Documents.
The main document will also be visible in the "Referenced by" section of the Relationships tab belonging to the newly referenced document.
Associating Standards to a Document
It can be useful to associate a relevant standard to a document, such as a health and safety standard to a safety manual.
To associate a standard to a document:
- Click on the icon of a white cross within a blue square, located to the right-hand side of the "Related Standards" heading. A pop up search window will appear.
- Search for the standard that you wish to relate to the document
- Click on the tick alongside the standard to relate this standard to the document
Once added, the related standard, the individual clause and a description of the clause will be shown in the "Related Standards" section.
The Standards Management Section
When a relationship to a standard has been added to a Document record, the document will now also be visible as a related record against this standard, from within the Standards Management section. This can be useful, if you wish to show for auditing purposes, related documents that show how the standard is being applied within your organisation.
Note: Administrator permissions will be required to access the Standard Management section
To access the Standard Management section:
- Click on Administration from the menu panel on the left hand side
- Click Customisation
- Select Standards
- Click on the name of the particular standard
Records that have been related to the standard will be visible within the Details panel on the right-hand side.
Other Related Items Available
There are a few other items that you can configure as related to the document. You can relate; Organisational Units, Processes, Suppliers and Assets to a document record where it is necessary.
Related Organisational Units
To add a Related Organisational unit, click the [+] icon next to Related Organisational Units. This will display a search window where you can select Organisational Units within your business. Organisational Units can be configured by an Administrator in the People & Security Module.
To add a Related Process, click the [+] icon next to Related Processes. This will display a search window where you can select Processes. Processes are configured in the same place as Standards, in Administration >> Customisation.
To add a Related Supplier, click the [+] icon next to Related Suppliers. This will display a search window where you can select Suppliers. Suppliers are configured by an Administrator in the Suppliers area.
To add a Related Asset, click the [+] icon next to Related Assets. This will display a search window where you can select Assets. Assets are configured by an Administrator in the Assets area.
